Getting Started

Launching benefits should feel simple, organized, and supported from the first step. Our team guides you through the setup process, so you know what to expect before coverage begins.

Your Onboarding Roadmap

From application to the first day of coverage, your full setup will generally take roughly five weeks. Your designated Franchise Benefit Solutions onboarding team will confirm your dedicated dates and provide ongoing support throughout.

Complete the Employer Group Application sent by our office. This tells us which plans you want to offer, any contributions you plan to make, and your business details.

Complete the Employer Census provided by our team. Please include every full-time or benefit-eligible employee and complete every required column so we can build your group accurately from the start.

Once we receive your completed application, our office builds and integrates your group. We will send a clear summary of all plans, contributions, and classes for your review.

Once you confirm, we can move forward.

Review the Enrollment Kickoff section below before your Open Enrollment begins. This gives you the platform, support, and process details you need in one place.

Your employee can now enroll. On the first morning of Open Enrollment, our office sends a welcome email to every employee on your census.

We also send a reminder to employees who have not completed enrollment as the window gets closer to closing.

No action is needed from you to start those communications.

Once Open Enrollment closes, our office and carrier partners begin processing employee enrollments.

Temporary ID cards become available in each employee’s Documents folder in the benefits platform.

You will receive your first bill on or around the first of the month. Your first invoice covers two months of coverage because billing runs one month in advance per carrier requirements.

Every invoice after your first covers one month.

Understanding
Open Enrollment

Open Enrollment is the period when eligible employees select their benefits for the coverage year. Franchise Benefits helps manage the process with online access, employee communications, and ongoing support for employees who need help completing their selections.

How Open Enrollment Works

We Start The Process.

On the first morning of Open Enrollment, every employee on your census receives a welcome email from Employee Navigator with their login and instructions to enroll.

We Send Reminders.

Employees who haven't finished enrolling receive automated reminder emails throughout the window, with the last one going out on the final day.

New Hires Are Made Easy.

After your initial Open Enrollment wraps, add each new hire to Employee Navigator with their personal information and send their login from the Manage Login option.

Enrollment Is Fully Online.

All enrollments, waivers, and changes are completed in Employee Navigator. We no longer accept paper applications, and we can't accept enrollments or changes by email.

Managing Your Group

Once your group is live, this section provides the billing cadence, platform guidance, and day-to-day instructions you need to keep benefits organized.

How Billing Works

Franchise Benefit Solutions provides monthly consolidated billing, which means you receive one invoice covering your carriers and services.

  • Invoices go out on the 1st of each month and are billed one month ahead.
  • Payment is due by the 16th, the month before the coverage month.
  • The billing window closes on the 25th.
  • Any addition, deletion, or change entered after the 25th appears on the following month’s invoice.

If payment is not received by the end of the 30-day grace period, coverage will be terminated as of the due date of the last unpaid invoice.

Important Note: Your first invoice will cover 2 months. Because billing runs one month in advance, your first invoice combines two months of coverage. Every invoice after that is for one month.

How to Pay

Payment is made online by credit card or ACH through the Bill & Pay system. You can pay each invoice as it is rendered or set up automatic payments. To set up autopay, contact your Franchise Benefit Solutions representative.

Important Note: Franchise Benefit Solutions cannot accept benefit changes by email. All additions, deletions, and changes must be made through the platform, so they are captured accurately and tied to the correct effective date.

How to Help Keep Billing Accurate

  • Please pay your invoice exactly as it is rendered.
  • Do not add new hires directly to your invoice. Add them to the platform so they appear on the correct future invoice.
  • Do not change invoice amounts. If you notice an error, contact us, and the correction will appear on your next invoice.
  • Make additions, deletions, and employee changes in the platform before the requested change date.

Everyday Tasks Made Easy

This is your everyday benefits toolbox. Use the resources below for the tasks clients need most, including employee updates, terminations, life events, ID cards, and payroll deduction reports.

Submit a qualifying life event

When an employee has a qualifying life event, such as marriage, divorce, legal separation, birth, adoption, or a death in the family, the change should be entered on the employee’s profile in Employee Navigator.

New or changed coverage becomes effective after the enrollment is approved and the required premium is paid.

Download your payroll deduction report

Your payroll deduction report is available in your Employee Navigator benefits platform. You'll find it under Reports in Employee Navigator.

Find ID cards

After an employee is enrolled, their temporary ID cards are processed and uploaded to the Documents folder on their profile in Employee Navigator. Timing can vary, so please allow 3 to 5 business days.

Permanent ID cards are mailed by the carrier directly to the employee's home address.

Terminate an employee

Submit the termination on the employee’s profile in Employee Navigator. Termination of coverage takes effect on the last day of the month after we receive your request through the platform. COBRA notifications are processed automatically as part of your service.

Add a new employee

When you hire a new employee, add the employee and their personal information in Employee Navigator. Then, send their login from the “Manage Login” option on their profile. The employee can review every benefit option available to them and complete enrollment online.

FAQs

Not for every plan. Many of our plans, including dental, vision, and other voluntary benefits, can be offered with no employer contribution. Some medical plans carry minimum contribution and participation requirements set by the carrier. Our team will walk you through the requirements for the plans you select.
Full-time and benefit-eligible employees as defined by your group, along with their eligible dependents. Eligible dependents generally include a legal spouse and children up to age 26. Specific eligibility rules can vary by plan and carrier.
For a new group, coverage begins on your group's effective date. For new hires, coverage begins after the waiting period your group selected, once the employee completes enrollment in Employee Navigator.
Coverage ends on the last day of the month after we receive the termination through Employee Navigator. COBRA notifications are processed automatically as part of your service.
An employee who declines coverage can enroll at the next Open Enrollment, or sooner if they experience a qualifying life event such as marriage, birth, adoption, or loss of other coverage. The life event must be entered in Employee Navigator within the carrier's required window, typically 30 days.
Dependents added at enrollment start coverage on the same date as the employee. Dependents added through a qualifying life event start coverage based on the event, for example the date of birth or adoption for a new child.
Dependent coverage ends when the employee's coverage ends or when the dependent is no longer eligible, such as aging out of the plan or a divorce. The change should be entered in Employee Navigator so it appears on the correct invoice.
